Cookies
The first time you visit the site, a cookie banner asks whether we may use Google Analytics for statistics. If you say no, we load nothing from Google and set no cookies. You can always change your choice under "Cookie settings" at the bottom of the page.
If you say yes, Google Analytics sets the cookie _ga and a cookie beginning with _ga_. They tell visitors apart and are stored for up to 2 years. If you withdraw your consent, we delete them. Your choice is stored in your browser, not in a cookie.
We use no cookies for marketing. Visits are also counted with Ahrefs Web Analytics, which sets no cookies (see below).
The site is protected by Cloudflare against attacks and spam. Cloudflare may set a technically necessary cookie that tells humans from robots. It is used only for security, is deleted after a short time and does not require your consent.
What information do we process?
When you visit the site
When you open a page, our server and Cloudflare receive technical information: your IP address, the time, the page you request and which browser you use. This is necessary to deliver the page and protect the site against attacks and abuse.
We do not use the information to profile you. Server logs are deleted on a rolling basis, at the latest after 90 days.
Legal basis: our legitimate interest in running a secure website (GDPR article 6(1)(f)).
Visitor statistics
We use Ahrefs Web Analytics to count visits, so we can see which pages are read and where visitors come from. The tool sets no cookies and stores nothing on your device. According to Ahrefs, your IP address is not stored, and the figures cannot be traced back to you.
Legal basis: our legitimate interest in improving the site (GDPR article 6(1)(f)).
Google Analytics (only with your consent)
If you say yes in the cookie banner, we use Google Analytics 4 to see how the site is used. If you say no, we do not use it, and nothing is sent to Google.
With your consent, Google receives information about the pages you view, where you come from (for example a search or a link), your approximate location (country and city), your language, and which browser, device and screen size you use. The information is linked to a random id in the _ga cookie, not to your name or email.
According to Google, Google Analytics does not store your IP address. It is used only briefly to find your country and city and is then deleted.
Statistics are stored at Google for 14 months and then deleted automatically. We have turned off Google signals and data sharing with Google advertising, so the information is not used for ads.
Google is our data processor and processes the information under Google's data processing terms. The information may be transferred to Google LLC in the USA, which is certified under the EU-US Data Privacy Framework.
Legal basis: your consent in the cookie banner (GDPR article 6(1)(a) and the Danish cookie order). You can withdraw it at any time under "Cookie settings" at the bottom of the page. We then delete the cookies, and no further information is sent to Google.
When you write to us
If you use the contact form, we receive your name, your email, the subject and your message. We use them only to reply to you. We also store which version of the consent text you accepted.
The enquiry is stored in our system and sent to us as email. In the system it is deleted automatically after 6 months. We keep the email for as long as it is needed in the dialogue with you. If you become a customer, we keep what the Danish Bookkeeping Act requires for 5 years.
Legal basis: the consent you give in the form (GDPR article 6(1)(a)). You can withdraw it at any time by writing to us.
When you sign up for the newsletter
If you sign up for the newsletter, we receive your email. You first get an email where you confirm the sign up. We use your email to send you news about HCL Notes and our services.
You can always unsubscribe using the link at the bottom of each newsletter. We then delete your email from the list.
Legal basis: your consent (GDPR article 6(1)(a)).
Spam filter on the forms
The forms are protected by Cloudflare Turnstile. It checks that you are not a robot, based on technical information about your browser and your IP address. The information is used only for this check.
Legal basis: our legitimate interest in avoiding spam and abuse (GDPR article 6(1)(f)).
