Notes administrator

A Notes administrator runs the HCL Domino servers: upgrades, users, security, backup and monitoring, so mail and applications run reliably.

A Notes administrator runs the HCL Domino servers, so mail and applications run reliably. The term is used interchangeably with Domino administrator. The role covers everything from daily monitoring to upgrades and security.

What does a Notes administrator do?

  • Operations and monitoring: keeps an eye on server health, disk space, mail queues and replication. See server monitoring.
  • User management: creates, moves and removes users in Domino Directory, renews Notes IDs and manages groups.
  • Security: ACL on databases, TLS certificates, access for web and mobile, blocking old protocols.
  • Upgrades of Domino and Notes clients, moves from Windows to Linux and to Docker.
  • Backup and restore of NSF databases, including restore tests.
  • Mail: routing, spam filtering, DKIM and SPF, coexistence with Microsoft 365 in hybrid environments.
  • Maintenance: compacting, rebuilding indexes, cleaning up unused databases.

Why is the role hard to fill?

Domino is stable. Many servers run for years without trouble, so companies have let the role pass to an IT employee who also does everything else. When something does happen, the experience is missing. The classic failures are full disks, expired certificates and a server that has not been upgraded in ten years.

Automated administration

A large part of an administrator's work can be automated. We have built automated user management, where creation and removal are driven from the HR system or Active Directory, so the IT department avoids manual work and errors. The same goes for monitoring, where the server sends alerts before users notice anything.

Common questions

How many hours does Domino operations take?

A well maintained server with under 500 users typically takes a few hours a month plus upgrades. A neglected environment takes far more until it is brought into order.

Can operations be outsourced?

Yes. We take operational responsibility for Domino servers with monitoring around the clock and a fixed monthly price. The servers can sit with you or with us.

What happens during a migration?

The administrator plays a key role, because migration requires a clean directory, matching users and a server in good shape. Read about Notes migration.
